Modernizing procurement, eTendering, can cut your costs (printing, binding, shipping, administration) and reduce effort by 30 days or more based on a six-month tender process. And it eradicates the possibility of errors with auto calculations. Remember the last bid that went south because you forgot to carry the one? Troublesome bid review issues are no longer a problem with an online system that eliminates simple math errors, illegibility, lack of acknowledgement of addenda, missing signatures or missing pages and forms. And it’s open and available 24 hours a day, 365 days a year.

That hour hand just backed off, didn’t it?

Forget administration, what about business development? eTendering provides automatic notifications on new bid opportunities that you select for your business. It automates reminders and notices of changes sent directly to you, and at close, notifies you of the winning bid.

Too good to be true? Possibly.

"We've been monitoring systems for a couple of years. We've had major, major complaints," says OGCA president Clive Thurston. "We just haven't found any that are truly designed for our industry. You need a nimble, agile system, that's developed in collaboration with the industry that is user friendly and doesn't cost us huge fees to participate."

That is until bids&tenders.

"Response from the industry – buying organizations and suppliers alike - has been overwhelmingly positive," says Alison Carden, Principal, bids&tenders after her team’s work with OGCA and Mr. Thurston in the development of a solution.

Late last year, bids&tenders was rigorously tested in a mock tender launched by the Ontario General Contractors Association (OGCA) and the Town of Milton to gauge industry feedback for user experience and the electronic bidding and bonding process. OGCA members taking part included Maystar General Contractors Inc., M.J. Dixon Construction Ltd., Melloul-Blamey Construction Inc. and Newgen Construction.

"Overall, we scored a nine out of 10. We're hoping to spread this throughout the industry," he states. "Provincially, we'll also be reaching out to our friends in government to say, ‘Guys you really need to take a look at this.’ We know of other systems that have gone ahead without consultation with the industry and they haven't worked. We have to work together. We have to share information and we have to make sure that what we're doing is compatible for both sides," said Clive.

Fast forward four months and bids&tenders has been adopted by more than 60 organizations across Canada with more added each and every week.

"We’re proud to say that we offer the lowest annual subscription fee, but provide the most value," said Alison. "And we have developed it based on what experts in the industry, like OGCA and its members, say are the most important features."
